The following document was ratified by the Executive Committee on 12 April 2023, detailing the role of Director of Code and the Code Committees.   The Committees membership were updated in February 2026 for the launch of our new website

The primary responsibility for Administration of Adult Games in the Club is with the Adult Games
Committee. The Adult Games Committee consists of a Chairman and Secretary who are appointed
by the Club Executive, and the Directors of the four Codes within the Club.

The Adult Games Committee meets weekly during the playing season, usually on Thursday nights
and all Adult Teams are required to have a representative in attendance at these weekly Adult Games
Meetings. The Adult Games Committee will deal with the following items;
o Fixtures & Results
o Allocation of Pitches for matches & training
o Recording of Injuries & Incidents
o Player Disciplinary Notifications & Hearings
o Allocation of playing equipment
o Board Reports
o Team Entries
o Player/Team Re-gradings
o Disputes between teams
o All other issues relating to the administration of adult games in the Club.

The Adult Games Committee is a sub-Committee of the Club Executive and is accountable to the
Club Executive which exercises the overall authority of the club, on behalf of the members. The
following items require to be approved/ratified by the Club Executive.
o Appointment of Team Managers, in consultation with Adult Games Committee Officers
o Incurring of expenditure outside of that provided for in this Policy & Guidelines Document
o Changes to Club Policies & Guidelines
o Maintenance/Development of Club Facilities
o Resolution of Disputes that are not resolved by the Adult Committee

The primary responsibility for Administration of Juvenile  Games  in the Club (Academy to U16 across 4 codes) is with the Juvenile Games Committee. The Juvenile  Games Committee consists of a Chairman and Secretary who are appointed
by the Club Executive, and the Directors of the four Codes within the Club.

The Juvenile  Games Committee meets bi- weekly during the Juvenile playing season, usually on Thursday nights
and all Juvenile Teams are required to have a representative in attendance at these bi-weekly Juvenile Games

Membership, Safeguarding, Coaching

Full Membership Requirement
All mentors, coaches, FLOs and helpers working with U18 teams must be Full Members of Lucan Sarsfields.
Social Members are not permitted to manage, coach, mentor, or assist with any U18 team.

Safeguarding Training
Completion of Safeguarding 1 is mandatory before assisting with any U18 team.
Safeguarding classes run throughout the year.  All Adult team Coaches/FLOs with U18s Participating MUST also also complete Safeguarding 1.

Garda Vetting & Support Contacts

Garda Vetting (Legal Requirement)
Garda Vetting is required by law for anyone working with U18 players.   All Coaches FLOs etc of U18 teams MUST be Garda Vetted.   All Adult team Coaches/FLOs with U18s Participating MUST also be Vetted

Steps to Complete Vetting

  • Log into or create your account on foireann.ie
  • Print and complete the NVB1 Form
  • Attend a face‑to‑face ID verification with a Children’s Officer
  • Bring: official photo ID + proof of address (no mobile phone bills)
  • Sign NVB1 in the presence of the CO
  • CO completes the ID Validation Form and retains originals securely
  • Take photos of NVB1, ID Validation, Photo ID, Proof of Address
  • Submit your application through the Vetting section on Foireann
  • Respond to the Garda email requesting previous addresses within 30 days
  • Applicants aged 16–17 must also complete the NVB3 Parental Consent Form

Registering for Ratification

Coach ratification is required for every person involved with any team in Lucan Sarsfields. A coach can only be proposed for ratification once all mandatory compliance items are fully validated on Foireann. This applies to mentors, coaches, FLOs, selectors, and anyone assisting with U18 teams or adult teams that include U18 players.

Once your membership is paid, vetting, safeguarding and coaching qualifications are approved on Foireann, you must register your details using the link provided by the club. This registration confirms:

  • All teams you are involved with
  • Your role on each team
  • Your compliance status for Executive review

The information submitted is used to compile the official list of all mentors and coaches for ratification by the Club Executive at the start of every year
